Emmabelle's
Emporium & Events

Our Terms & Conditions of booking
When you pay your booking fee to book your event you are agreeing to the terms and conditions of this performer-client contract. By paying your booking fee, and agreeing to these terms, this holds Emmabelle's Princess Parties/Emmabelle's Emporium Ltd (the Company) responsible for providing the agreed upon entertainment services and also holds you (the Client) responsible for following the terms and conditions listed below.

Booking an Event:

Once availability for your chosen event date is confirmed, you can make your payment of the booking fee to fully confirm your booking (50% of total package price unless other agreements have been made in writing). This payment can be made via credit/debit card, bank transfer or PayPal. Until we receive your payment the booking is NOT confirmed, and availability can change at any time. Your booking fee is non-refundable unless otherwise indicated in writing. The balance will be due one week before the event and payment must be fully cleared no later than 48 before the event start time, unless other arrangements are made ahead of time with the Company owners. Failure to ensure your final payment has cleared by this time will automatically cancel your booking, with no refund due.

For bookings taking place at our own venue, Emmabelle's Emporium, your booking fee will be 50% of your chosen package price, minus cost of food, if this is being included. Payment for food provided by the Company for consumption at the event will be finalised approximately one week before your chosen party date so the Client is able to confirm numbers, and payment for food will be due in full at the same time as the final balance of your package price.

If you finalise your booking form and click to agree to these terms, yet fail to make your deposit within 48 hours of finalising your booking form, the Company will re-open your spot, and make it available to be booked by someone else. If you still wish to book with Emmabelle's, this will be according to availability. At that time you would need to make the deposit within 12 hours. We do not hold spots for anyone longer than 48 hours.

All dates are reserved on a "first come, first serve" basis. Every party is allotted the amount of time chosen by the Client and noted on your booking form, booking fee email receipt, and final pre-party communication. Bookings must begin and end at the scheduled times. If you need to change the time of performer arrival, requests must be sent in writing, no later than 24 hours before the booking start time listed in our calendar and on your booking form. Any time changes will be dependant on our current availability, and we cannot process any refunds due to a time change we are not available for.

For some of the characters at Emmabelle's, you can state a preference of outfit. We will always try our best to accommodate this request, but this cannot be completely guaranteed.

Cancellations, Refunds and Rescheduling:

Your booking fee payment guarantees your booking date, time and character(s) in our calendar. In the event of a cancellation by the Client, the Company will retain your booking fee. All booking fee payments are applied to your final invoice and the remaining balance must be fully cleared no later than 48 hours before the start time of your booking.

Cancellation of the engagement by the Client for any reason shall forfeit the deposit/booking fee. Cancellation of the engagement by the Client within 7 days of the date of engagement shall also require payment of the balance to the Company, unless the same package is re-booked by the client for a mutually agreeable date within 60 days of the original event date. A client cancelling their engagement by telephone must also verify that cancellation in writing, via email to enquire@emmabelles.com.

We understand that life happens so if you have an emergency and need to change the date or time after booking we will try to accommodate you as best we can and will apply your booking fee payment to another date/time as a one-time courtesy. If you need to change the date/time, please let us know as soon as possible so that we can book other events during your previously booked time, as well as try to accommodate your new requested time into our schedule. If you need to change the date/time more than once, we will accommodate you as best we can with our party schedule, but a £15 fee will be applied. Date/time changes must be requested at least 48 hours in advance of your original booking date.

If the Company or the Client must cancel or postpone the engagement due to an Act of God, “Force Majeure”, riot, strike, pandemic, epidemic, or by the order of any public authority, the client will be able to reschedule for any date, dependant on the Company’s availability, within the next 14 months, with no charge. Cancellations of this type by the Client must be communicated in writing no later than 24 hours before the event start time, a cancellation within 24 hours of the event start time will forfeit the booking fee and final balance payment. In the event of bad weather, serious illness, or other unforeseen emergencies which prevents the Company from providing the booked character/package, the Company reserves the right to offer an alternative date or character if available, or cancel the booking in full. If an alternative date or character cannot be agreed on, the Company will process a full refund within one calendar month of the booking date.

Communication can be made via 07942820422, 01480504504, www.facebook.com/emmabellesprincessparties

or enquire@emmabelles.com. We will contact you 24-72hrs prior to the party to reconfirm all details and ensure that there are not any known planned events or road works in your area that may affect us on the day of the party.

Responsibilities:

When you pay your booking fee to book a party or event, you are agreeing to provide a safe, clean environment for your party guests and the performer. The party area needs to be clutter free with plenty of space for the booked time, for all activities mentioned in your schedule. Please be advised that the Company assume no responsibility or liability resulting from accidents or damage caused during your party to your guests and/or your property. You can be assured the performer will treat your venue and guests with respect and care, however liability will lie strictly with the Client. The Company is not responsible for allergic reactions or irritations caused by wearing any costumes, cosmetics, or accessories, providing activities requested/agreed to by the client (tattoos, makeover, craft etc), or consuming any food or beverages before, during or after the party. We will of course take great care and avoid using certain products or eating certain foods before the event if we are informed of allergies in advance. It is the responsibility of the guest and/or guests' parent or guardian to inform the Company of any allergy restrictions in writing at least 48 hours before the booking start time, and the performer will take the appropriate steps to avoid contact with such items before the booking begins. The Company will not accept any responsibility for failure to notify us of any such allergies. It will be the responsibility of the Client to ensure that they have checked with all parents/guardians that permission has be given if activities such as glitter tattoos, makeovers, face painting or other similar activities take place, where we are in contact with the child's skin, and that the Client has checked with all parents/guardians to see if there are any food allergies to be aware of.

Both parties must take precautions to ensure guests and performers are free of illness on the event date. The Company is not responsible for any illness which may occur following the booking. We reserve the right to refuse service with no refund if any person shows visible signs of being unwell upon arrival at booking.

Liability will lie with the client for any damage caused to costumes and/or equipment by party guests or environmental factors at the party. Liability will also lie with the Client for any damage caused by the Client or their event guests to our venue, Emmabelle's Emporium, if the booking is taking place here. If the client opts to serve food before or during a performers booked time, the Client is liable for the cost of cleaning any staining of costumes which may occur. We also require clients to supervise all party activities. Although the performers are there to entertain the guests, it is the responsibility of the client, and/or guests’ parents to resolve behavioural problems or to care for children in the event of injury, illness or upset. This applies both at parties where our performers travel to a venue of your choice, or if the event takes place at Emmabelle's Emporium.

The Company is not responsible for any injuries, negligence, or unruly behaviour during events. Please act responsibly & chaperon all party guests. Our performers and assistants are not responsible for the welfare of any children at an event, and a responsible adult must be present at all times in order to intervene if required, in case of disruptive behaviour, a child becoming upset or has needs we cannot help with (eg, wanting a drink or needing the toilet). In an exceptional circumstance, if we feel that a guest is not behaving in an appropriate manner and there is no adult intervention, we reserve the right to ask the responsible adult to exclude the guest from the party.  If at any time performer feels that they are in a threatening, hostile, unsafe, harmful, hazardous, or unsanitary environment, the performer retains the right leave the premises immediately with full compensation from the client. Performer also has the right to refuse to perform services if the Client and/or event guests are negligent, absent, inattentive, disrespectful, and/or inebriated or under the influence of any foreign substance. If the event is taking place at Emmabelle's Emporium, the Company reserves the right to end the booking at any time if our venue, equipment or decor is being damaged, or if our staff feel like they are in a threatening, hostile or unsafe environment, or if the Client and/or event guests are negligent, absent, inattentive, disrespectful, and/or inebriated or under the influence of any foreign substance - the Company will not issue any form of refund or compensation to the Client if the booking is ended early in this scenario.

No inappropriate behaviour or language of any kind will be tolerated. An unsafe atmosphere violates the agreement and we are under no obligation to provide party or event services. Performers may also bring additional people with them as assistants for a safety precaution. We reserve the right to refuse service to anyone.

The Company generally does not work alongside other entertainment companies due to a conflict of business interests. If there is another entertainment company present at the venue, to which you did not give us prior knowledge of, we retain the right to remove ourselves from the venue at any given time with out warning if we feel they will negatively impact the Company, or prevent us from providing our services. In this case, no refund would be provided. If you do wish to book other entrainment alongside our characters we will provide the agreed upon services to the best of our abilities, but please note that some children may choose not to join in and/or we may have to change our activities to adapt to what we feel would be an appropriate alternative. Our priority will always be to keep the birthday child happy and engaged. If you do choose to hire inflatables or similar (eg, bouncy castle), we do require these to be switched off for the duration of our visit.

The Company does not under any circumstances work alongside any other costumed character performers at any party or event. The Company take great pride in providing authentic, believable characters, using bespoke costumes and wigs, hiring only performers with experience, and by ensuring our performers pass our unique and extensive character training program before attending booked parties and events. If we arrive at an event and other costumed characters (professional, amateur or volunteer) are present, our performers will leave immediately, and no refund will be due.

Whilst our performers always leave plenty of time to travel to the venue listed on the booking form, and will attempt to find their own parking space, the Client must ensure there is a safe and legal space for the performer to park their car at the event venue, if the event is not taking place at Emmabelle's Emporium. This space must be within 250ft of the venue due to the volume of supplies our performer will need to carry whilst in costume. If any charges apply to parking, the client will be required to pay this charge/fee on the performer's arrival. Our performers will not be held responsible for beginning activities after the scheduled start time due to being unable to park on arrival, or whilst waiting for a parking charge to be paid, and may not be able to extend the booking at the end of the original booked time if they have another booking following. If you foresee parking being an issue, please let the Company know in advance of the booking to discuss parking arrangements (for example, have a family member/guest park close to the venue, and switch cars with the performer on arrival).

The Company and our performers always plan carefully to ensure they arrive in good time and are ready to enter your venue for the booked time. However, on paying your booking fee to confirm your booking, you are agreeing to a grace period of 15 minutes on the booked time before being considered late to allow for any unforeseen and unavoidable circumstances which delay their arrival - our performers are often coming straight from another event, and may encounter heavy traffic, car breakdown, last minute costume malfunctions or similar. If your performers encounter a delay which would put their arrival after the booked start time, they will be in touch as soon as they are able to, to let you know. If your performer does arrive after the scheduled booked time, they will stay for this amount of time at the end, to make up for missed time and ensure they stay for the full package duration which has been booked. If the time can not be added on to the end of the booking (eg, hall hire is ending), the performer must be made aware on arrival, before greeting any guests and beginning activities, so they are able to adapt the schedule appropriately. If the performer cannot stay to complete the full schedule due to it not being possible to make up for the missed time, you are welcome to request a part refund to cover the time missed. Any refund must be requested on before the performer leaves your venue. Any refund will be pro-rata to the time missed, and based on the original main package price, not including any travel fees or extras.

For events taking place at Emmabelle's Emporium, the Client will have exclusive use of the venue for the booked time only. The Client is permitted to arrive up to 20 minutes before the booked time as noted on the booking form to settle and set up extras (balloons, cake, food etc) if needed. If the Client requires longer than 20 minutes to set up, this will need to be communicated in writing at least 48 hours before the event start time, and there will be an additional venue hire charge of £20 per half hour. For bookings which include a character performer, the performer will arrive within the first 15 minutes of the booked time, to allow children to arrive and settle. Following a booking, there will be a grace period of 15 minutes from the end time of the booking as noted on the booking form OR (if applicable) 15 minutes from when the performer ends activities (whichever is later) to vacate the venue. After this time the Client agrees to a charge of £10 per 15 minutes they stay over the booked time. It will be communicated to the Client on the day by the Company if this charge will apply, and the Company will make all efforts to ensure the Client is aware of this charge once the 15 minute grace period is coming to and end. Food is NOT included automatically with any booked package, this is however available to add on at at additional charge, and will take place within a two hour package. To add a food break on to the end of a 90 minute package, an additional venue hire charge will apply. The Client is permitted to bring their own food, however please note, use of Company supplies (plates, cutlery, napkins etc) and any set up of tables will not be included. When booking a food package through the Company, all supplies and set up are included.

All events are “rain or shine” unless otherwise stipulated. For outdoor events, our performers will require a shaded area. The client is responsible to provide an alternate indoor location in the event of inclement weather or unsuitable ground conditions. Our performers cannot perform outdoors in inclement weather to do the effect it will have on our bespoke costumes and wigs. The client agrees to pay the full amount contracted once the performer has arrived at the event location, even if performer cannot perform due to inclement weather or unsuitable ground conditions. The performer has the right to refuse to perform services or cancel the performance with no refund due, if the temperature is higher than 22 degrees Celsius, or if there is inclement weather such as rain, snow, sleet or excessive wind, or if there are unsuitable ground conditions such as mud, waste or puddles, and the client has no alternate indoor location. In the case of high temperatures, if the performer begins to overheat due to the venue temperature being higher than 22 degrees Celsius, the alternate location provided by the client must have a temperature of 22 degrees Celsius or lower, due to the health risks present with the multiple layered costumes and heavy wigs our performers are required to wear.
